Position Summary:
The North America Fleet Support Coordinator is responsible for overseeing a comprehensive transportation and logistics framework supporting operations across all North American facilities. A key priority of this role is establishing a scalable fleet support system connecting all facilities while ensuring operational efficiency, regulatory compliance, and cost control.
This position serves as the primary internal liaison with the company’s external transportation compliance partner responsible for guiding the organization’s Department of Transportation (DOT) program and regulatory compliance initiatives. The role also supports driver management processes, and regulatory adherence including FMCSA requirements.
The Fleet Support Coordinator will work cross-functionally with plant leadership, operations teams, and external partners to ensure safe, compliant, and efficient transportation operations throughout the region.
Essential Job Functions (Duties and Responsibilities): The primary duties consist of, but are not limited to the following
Transportation Operations & Fleet Support Coordination
Establish standardized transportation processes across all facilities to improve operational consistency and efficiency.
Collaborate with internal stakeholders to develop transportation policies, procedures, and operational standards.
Regulatory Compliance & Vendor Coordination
Serve as the primary point of contact with the external agency responsible for DOT program management and regulatory compliance.
Coordinate data collection and reporting required to maintain transportation regulatory compliance.
Monitor MDOT licenses for the US and Canada
Ensure adherence to FMCSA, DOT, OSHA, and other applicable safety and transportation regulations.
Support reconciliation and compliance oversight of the Electronic Logging Device (ELD) program.
Provide oversight of the company’s First Advantage Program (FA) to monitor Driver Qualification (DQ) program, including training site managers on compliance requirements and maintaining proper documentation.
Monitor individual Motor Vehicle Records using the company’s Samba Safety Program as it pertains to driver history, moving violations, accidents and other traffic offenses.
Conduct FA audits of driver qualification files to identify missing or non-compliant documentation.
Oversee administration of the Drug and Alcohol Testing and Training Program.
Safety & Risk Management
Promote safe transportation practices across all locations.
Conduct transportation and safety audits and participate in company safety initiatives.
Support investigations of transportation incidents or accidents in coordination with regulatory agencies.
Develop and implement improved safety procedures based on findings and regulatory guidance.
Documentation & Process Management
Assist site management with coordination of vehicle and equipment maintenance through local staff or contractors.
Ensure accurate documentation and recordkeeping for all transportation-related processes.
Assist third-party service providers with collecting site-specific data relating to DOT vehicle documentation, IFTA quarterly reporting, state mileage reporting, IRP Renewal, USR annual filings, and 2290 findings.
Monitoring, coordinate and submit International Fuel Tax documentation with assistance from third-party managed service providers.
Additional Responsibilities
Maintain professionalism and confidentiality when handling proprietary or employee-related information.
Follow company policies and procedures and work effectively with cross-functional teams.

Bachelor’s degree in Logistics, Supply Chain Management, Transportation, or a related field preferred, or equivalent professional experience.
This position must satisfy ITAR compliance requirements; therefore candidates must be U.S. Citizens or Permanent Resident Card Holder.
2–5 years of experience in transportation, logistics, or supply chain management.
Experience managing multi-site transportation operations preferred.
Experience working with DOT and FMCSA regulatory requirements.
Experience working with third-party logistics providers, brokers, or compliance vendors preferred.
Strong knowledge of FMCSA, DOT, OSHA, and transportation safety regulations.
Strong organizational, analytical, and problem-solving skills.
Ability to manage multiple priorities across geographically dispersed operations.
Strong written and verbal communication skills.
Proficiency with Microsoft Office and business software applications.
Ability to develop procedures, training materials, and compliance documentation.
Ability to work collaboratively with internal teams and external partners.
Ability to travel throughout North America up to 50% of the time.

Manual dexterity to perform data entry functions
